Introduction

These terms and conditions govern your use of our website HireAVehicle.co.uk and the vehicle rental services that we provide. By using our website and services, you accept these terms and conditions in full. If you disagree with any part of these terms and conditions, you must not use our website or services.

Definitions

In these terms and conditions, the following words have the following meanings:

– “We”, “us” and “our” refers to HireAVehicle.co.uk website,

– “you” and “your” refer to the customer who uses our website or services, or any person authorised by you to drive the vehicle.

– “vehicle” means the vehicle that we agree to rent to you under these terms and conditions, or any replacement vehicle that we provide to you.

– “rental period” means the period from the date and time that you collect the vehicle from us until the date and time that you return the vehicle to us, as specified in the rental agreement.

– “rental agreement” means the document that we provide to you when you collect the vehicle, which contains details of the vehicle, the rental period, the rental charges and other information related to the rental.

– “rental charges” means the charges for renting the vehicle from us, as specified in the rental agreement or on our website, which may include the daily rental rate, insurance fees, excess mileage fees, fuel charges, taxes and any other fees or charges that may apply.

– “deposit” means the amount that we require you to pay before or when you collect the vehicle, as a security for the performance of your obligations under these terms and conditions.

– “excess” means the amount that you are liable to pay in the event of any damage to or loss of the vehicle or any third party property or injury to any third party person caused by or arising from your use of the vehicle.

Booking and Payment

– You can book a vehicle through our website or by contacting us by phone or email. To book a vehicle, you must provide us with your personal details, such as your name, address, phone number, email address and driving licence number. You must also provide us with your payment details, such as your credit card or debit card number and expiry date.

– When you book a vehicle through our website, you will receive an email confirmation of your booking. When you book a vehicle by phone or email, we will send you an email confirmation of your booking within 24 hours. Your booking is not confirmed until you receive our email confirmation.

– You must pay the rental charges in full at the time of booking or when you collect the vehicle from us, unless we agree otherwise in writing. You must also pay the deposit when you collect the vehicle from us. We accept payment by credit card, debit card or cash. We do not accept payment by cheque or bank transfer.

– We reserve the right to cancel your booking at any time before you collect the vehicle from us if:

    – we are unable to verify your identity, payment details or driving licence;

    – we are unable to provide you with the vehicle that you booked due to unavailability or any other reason;

    – you fail to pay the rental charges or deposit when due;

    – you breach any of these terms and conditions; or

    – we have reasonable grounds to believe that renting the vehicle to you may pose a risk to our property, our business or any third party.

– If we cancel your booking for any of these reasons, we will notify you by email as soon as possible and refund any payments that you have made to us. We will not be liable for any loss or damage that you may suffer as a result of our cancellation.

Vehicle Collection and Return

– You must collect the vehicle from us at the location and time specified in the rental agreement. You must bring your driving licence and any other documents that we may require to verify your identity and eligibility to rent the vehicle. You must also inspect the vehicle before you drive it away and report any defects or damage to us immediately.

– You must return the vehicle to us at the location and time specified in the rental agreement. You must return the vehicle in the same condition as when you collected it, subject to normal wear and tear. You must also return the vehicle with at least the same amount of fuel as when you collected it, unless we agree otherwise in writing.

– If you fail to collect or return the vehicle at the agreed location and time, we may charge you an additional fee for each hour or part of an hour that you are late, up to a maximum of one day’s rental charge. We may also charge you for any costs that we incur as a result of your failure to collect or return the vehicle, such as towing fees, storage fees or recovery fees.

– If you wish to extend the rental period, you must contact us before the end of the rental period and obtain our written consent. We may agree or refuse to extend the rental period at our sole discretion. If we agree to extend the rental period, we will charge you an additional rental charge for each day or part of a day that you keep the vehicle beyond the original rental period. You must also pay any additional deposit that we may require.

– If you return the vehicle before the end of the rental period, we will not refund any unused rental charges or deposit, unless we agree otherwise in writing.

Vehicle Use and Restrictions

– You must use the vehicle in a careful and responsible manner and comply with all applicable laws and regulations. You must not use the vehicle for any illegal, dangerous or improper purposes, such as racing, off-roading, towing, carrying passengers or goods for hire or reward, or transporting hazardous materials.

– You must not drive the vehicle under the influence of alcohol, drugs or any other substance that may impair your ability to drive safely. You must not drive the vehicle if you are tired, unwell or unfit to drive for any reason. You must not drive the vehicle if your driving licence is suspended, revoked, expired or invalid for any reason.

– You must not allow anyone else to drive the vehicle, unless they are authorised by us in writing and meet our eligibility criteria. You must not leave the vehicle unattended with the keys in it or allow anyone else to have access to the keys. You must not modify, alter or tamper with the vehicle or any of its parts or accessories. You must not remove or obscure any logos, stickers or signs on the vehicle that identify us as the owner or operator of the vehicle.

– You must not take the vehicle outside of the United Kingdom, unless we authorise you in writing and provide you with the necessary documentation and insurance cover. You must not take the vehicle on any ferry, train or other mode of transport, unless we authorise you in writing and provide you with the necessary documentation and insurance cover.

– You are responsible for paying any tolls, charges, fines, penalties or taxes that may arise from your use of the vehicle, such as congestion charges, parking fees, speeding tickets or road traffic offences. You must notify us immediately if you receive any such notice or demand and provide us with a copy of it. You must also cooperate with us and any relevant authorities in resolving any such matter.

Vehicle Maintenance and Breakdown

– You are responsible for keeping the vehicle in good working order and condition during the rental period. You must check the oil level, water level, tyre pressure and fuel level regularly and top them up as necessary. You must also report any faults, defects or damage to us as soon as possible and follow our instructions on how to deal with them.

– You must not attempt to repair or service the vehicle yourself or by anyone else other than our authorised repairer, unless we authorise you in writing. If you need to repair or service the vehicle due to a breakdown or accident, you must contact us immediately and obtain our approval before proceeding. We will reimburse you for any reasonable and necessary costs that you incur for repairing or servicing the vehicle, provided that you give us a receipt and return the replaced parts to us.

– If the vehicle breaks down or is involved in an accident during the rental period, you must contact us immediately and follow our instructions on how to deal with it. You must also contact the police if there is any injury to any person or damage to any property. You must not admit liability or responsibility for any incident or make any offer of settlement without our consent. You must also obtain and provide us with the following information:

    – The name, address, phone number and insurance details of any other party involved;

    – The name, address and phone number of any witness;

    – The registration number and description of any other vehicle involved;

    – The location, date and time of the incident;

    – The weather and road conditions at the time of the incident;

    – A sketch or photograph of the scene of the incident; and

    – A police report number or reference number.

– We will provide you with roadside assistance and recovery service if the vehicle breaks down or is involved in an accident during the rental period. We will also provide you with a replacement vehicle if we deem it necessary and available. However, we reserve the right to charge you for these services if:

    – The breakdown or accident was caused by your negligence, misuse or breach of these terms and conditions;

    – The breakdown or accident occurred outside of our normal business hours or outside of our service area; or

    – The breakdown or accident was caused by a flat
